Product Overview
 
MY Focus is a comprehensive Employee Self Service (ESS) solution that utilises functionality within HR Focus and enables personal details administration, and selected workflow routing (leave applications, training applications, performance management and eRecruitment) through a standard web browser (IE5 or better).
 
Based on the look and feel of Microsoft XP in general, MY Focus offers functionality for 3 different user classes, the employee, the supervisor (or manager) and the system administrator.
 
Employees are the principal beneficiaries of the system and are able to initiate a number of functions on a self-service basis, subject to approval by Supervisors, setup in the system by the Administrator. For instance, employees are able to change personal address details, bank details or next of kin details themselves on the employee database through the system. If the modified information is deemed sensitive by the administrator, it may first be presented for review/approval by the employee’s supervisor before these changes are effected in the employee database. The employer may require this to ensure that critical operational information (like bank details) is not changed at will.
 
Employee leave requests follow a similar workflow. Employees are able view their current leave balances in the system and request leave for a defined number of days. This request is then redirected to the employee’s Supervisor for approval. Once approved the employee is notified and the employee’s leave balance amended accordingly.
 
Employees also have the option of requesting training online. After reviewing the training courses and the specific dates training is available, an employee may request training through the system. Training requests are presented to assigned Supervisors for review/approval after which the employee is scheduled for training. Courses completed and results obtained are updated to the employee database by the employee, again after approval by the supervisor.
 
The full range of functions available to the employee include:
  • Review/Change Personal Details;
  • Review/Request/Modify or Convert Leave (any type);
  • Confidential Message (to anyone);
  • Review/Query Payment Advice;
  • Review/Submit Policies and Procedures contribution;
  • Review/Submit News items;
  • Review/Request Training;
  • Review/Query online Performance Assessments;
  • Apply for an Internal Position through the eRecruitment process.
On logging into the system, the Supervisor is presented with a range of pending employee requests or work items (eg personal detail requests, leave requests, training requests) as well as summary information to assist in decision making (eg leave calendar, training calendar, requests history). The supervisor may view specific details related to a request, compare these details to others at their disposal and Approve/Reject/Forward requests with appropriate commentary.
 
Where information is submitted for approval (ie News, Policies & Procedures, Training details), these are handled like any other request for consideration by the supervisor. Summary information is assessed, if more detailed information is required this can be viewed. Finally the relevant submission is Approved/Rejected/Forwarded with appropriate commentary.
 
Supervisor’s have other tools at their disposal to enable effective decision making. For instance, the full departmental leave calendar may be viewed to enable the supervisor to identify trends or to ensure that leave requests are in line with company directives. The Supervisor may also “drill down” to specific pending or approved leave requests to assist in decision making. A full history of pending and approved work items is also available with powerful search and filtering capabilities for query purposes.

  • Approve/Reject/Forward Training Requests;
  • Read/Flag/Delete/Forward Messages;
  • Query/Review of Requests History (all);
  • Approve/Reject/Forward News Submissions;
  • Approve/Reject/Forward Policies and Procedure Submissions;
  • View Departmental Leave Calendar;
  • View Departmental Training Calendar
The functionality available to the Administrator includes setup of security, access and use rights, configuring the menu system and changing the look and feel of the application in accordance with customer requirements.
 
The system is designed to provide self service access to employer information and operating processes, for employees operating out of undefined and distributed locations, using familiar and usable technology (web browser, internet access). A key benefit is that the system is intended to meet the needs of a heterogeneous group of mass users (employees) without the need for onerous user training.
 
This is a true Microsoft .NET application that requires Windows Server 2003 and integrates seamlessly with the HR Focus application and its MS SQL database through XML. Developed in VB.NET, the application has been designed around the employee using a familiar look and feel (Microsoft XP) in a manner that enables the employee to easily initiate and receive feedback on their requests.
